You will be responsible for

Personal Assistant Duties

  • Managing the Directors diary and prioritising their workload, maintaining a high level of confidentiality at all times.
  • Reviewing and actioning emails to a support quick and timely response
  • Acting as the first point of contact for direct reports and organising team events
  • Arrange and facilitate senior management meetings by confirming agenda, attendance, collating of actions and next steps, producing executive summaries
  • Organise logistics/itinerary for national travel, always seeking cost effective & simple arrangements
  • Organise meetings/conferences/telepresence/functional events and supporting with equipment, production of required materials (printing etc.), venue liaison so all events run smoothly
  • Managing expenses collation and processing of items efficiently and timely
  • Ensuring effective running of department: holiday/sickness tracking in ETHAF, compliance, stationery, gift register
  • Tracking team budget and highlighting anomalies with Finance
  • Following our Business Code of Conduct

Driver Duties

  • Plan appropriate routes, taking into account traffic and weather conditions to ensure punctual arrival at all appointments
  • To drive legally and to ensure passenger’s comfort and safety at all times and keep the vehicle clean each day it is used.
  • To check the vehicle each working day, ensuring it is safe, legal, roadworthy and to organise service and repairs at agreed dealerships if required.

You will need

  • Strong Planning and Organisational Skills, including:
    • Diary planning 
    • Route/store planning
    • Hotel booking
  • Confidentiality and Punctuality
  • Facilitation skills to include conference calls and meetings
  • IT literate including E-mail, Spread sheet data, electronic calendar.
