•Responsibility for issuing instructions on a day to day basis to resolve residential management issues via One Stop’s external managing agent.
•Gatekeeper for residential maintenance costs to ensure prioritisation and value for money.
•Assist with the implementation of the residential flats strategy.
•Assist in the implementation of the legal compliance strategy for flats to ensure residential tenants safety within our buildings.
•To provide comprehensive day to day administrative support for the Estates function.
•Legal documents are executed within given timescales and colleagues are notified of rent increases / new lease terms and actioned accordingly.
•Liaise with agents, landlords, tenants, solicitors to resolve minor queries.
•Manage the property database and ensure it is accurately maintained with latest relevant information as lease events occur.
•The main point of contact for administrative queries from external parties and internal colleagues.
•Responsible for notifying key stakeholders (internal & external) of store closures/transfers and resolving queries to ensure stores transfer/close to agreed schedule.
•Assist the Finance Team with the Innervision upload.
•Responsible for resolution of energy bill disputes (gas, electric, water) relating to residential flats, direct with utility companies.
•Track and resolve Landlord repairs issues in line with the escalation process.
•Maintain & develop the Landlord Repairs Tracker.
•Day to day point of contact for TM, Retail and landlords.
•Check/challenge excessive service charge and insurance invoices.
